Before The Day / What To Map Out

• Getting ready logistics: Where are you prepping? How many people will be getting ready? What time do you want hair/makeup done by?
• Travel times & buffer zones: Think about drive times, vendor set-up, weather considerations (sunset times, light direction).
• First look or not: Decide whether you’ll do a first look, which shifts the timeline earlier for portraits.
• Portraits & bridal-party photos: How many groups do you want? What’s the ideal backdrop? Work with your photographer on light and location.
• Ceremony time: Confirm with venue, coordinate arrival of guests, vendors, and any rituals or unique moments.
• Reception details: Entrances, speeches, dances, cake cut, last-call, exit build in time so things don’t feel rushed.

Tips to Make Your Timeline Work for You

• Coordinate with your photographer: Good light matters. Ask them when the best time is for portraits at your venue!
• Communicate with vendors: Make sure florals, hair & makeup, the venue, catering and photography all have the timeline and know any wiggle-room.
• Account for travel & setup: If you’re changing locations (getting ready site → venue) build in time.
• Limit the ‘dead time’: Long gaps make guests or the couple restless. Use them strategically (extra portraits, guest social time, pick a scenic spot).
• Don’t over-schedule: Leave space to breathe, to enjoy a moment with your partner, to soak in the excitement.
• Have a backup for lighting/weather: If you lose your sunset window (clouds, rain) plan alternative photo timing!
• Share the timeline with your wedding party: Have a simple version they can reference so they know when and where to be.
